How to Prepare a Bulk Olive Oil RFQ

A buyer-side checklist for translating product, specification, volume and delivery needs into a commercially reviewable request.

Define the use before the category

Start with the intended use—bottling, blending, refining or food manufacturing—then state the requested commercial category. Extra virgin, virgin and lampante are not interchangeable labels, and a category request still needs measurable acceptance criteria.

If the exact category or limits are not yet fixed, say so. A useful RFQ can request guidance without presenting an example grade as confirmed supplier inventory.

Make the requirement measurable

Provide target analytical limits, sensory requirements where relevant, certification needs and a reference specification or COA if available. Identify which points are mandatory and which are preferences.

A COA is evidence about a tested sample or lot; it should be read together with lot identity, test date, method and agreed sampling basis.

  • Campaign or lot context

  • Required documents and acceptance tolerances

Connect volume to delivery

State the preferred bulk format, destination country, port or city, delivery period and Incoterm preference. These are not administrative details: they affect loading configuration, freight comparison, risk transfer and whether quotations are comparable.

Formats and Incoterms remain requirements to confirm against the proposed supply and route.
