What belongs in a bulk olive oil buying brief?

A practical checklist covering grade, analytical limits, quantity, certification, format, destination and timing.

Start with commercial category and intended use

State whether the requirement concerns extra virgin, virgin, lampante or another target. The category alone is not enough: explain whether the oil is intended for bottling, refining, blending or food manufacturing.

Make specifications measurable

List the analytical limits, sensory criteria, certification needs and destination-market constraints that apply. A reference COA or specification sheet can reduce ambiguity, but it should not contain confidential information at the first-contact stage.

Any proposed match should be checked against the relevant lot documents, sampling method and agreed acceptance criteria.

Connect quantity to delivery

Include volume, repeat schedule, preferred bulk format, destination country and port, delivery window and preferred Incoterm. These details affect whether a requirement is operationally and commercially feasible.

A complete brief does not guarantee a quotation, but it gives both parties a sound basis for a faster, evidence-led review.
